Paint Party Fundraisers
Updated and effective November 2024
***Please note this information regards scheduling Paint Parties for Charity Fundraisers with me as an independent contractor. Paint Parties and classes with me that are not being done as a fundraiser have different guidelines. If you would prefer to schedule class that is not being done as a fundraiser, please let me know so I can provide the proper information***
If scheduling a fundraiser event, the Party Leader or Event Host MUST provide me with information regarding the charity the fundraiser is benefiting and provide proof that the income resulting from the fundraiser paint party will directly benefit the charity that the fundraiser event is for. I reserve the right to refuse instructing a fundraiser class if proof that the income will go to the charity is not properly provided.
I reserve the right to reject fundraiser requests if it does not support an organization’s mission, if the funds are not going to a charitable cause or non-profit organization, or if there isn’t a well defined “need” for the funds, such as medical expenses, costs to rebuild property after a disaster, etc.
If hosting a Personal Fundraiser that doesn’t benefit a specific charity, organization, team, etc. and is not being used for the purpose of a “need”, I reserve the right to decline the class or to charge a higher fee. Raising money for a sole individual’s (or family’s) dance lessons, sports fees, travel expenses for a trip, vacation, etc. are not considered charitable or a “need” and may result in my fee being higher. This fee will be discussed during planning the event and will need to be agreed upon before the class is booked. The exception to this is if the fundraiser is going through an organization that supports individuals and families such as Salvation Army, Toys for Tots, Operation Christmas Child, through a school or non-profit organization where the funds can be allocated properly, etc.
Please understand that the fundraisers I support are for good charitable causes or will benefit the community. I will not conduct a fundraiser for someone who simply wants to raise money for themselves or someone else without a well defined reason or how it the income from the fundraiser will be used to benefit them. This is unfair to other legitimate fundraisers happening throughout the community who have a need and goal.
Please note that I am open to supporting political or religious fundraisers via Paint Party but may not hold the same beliefs, affiliations, or ideas as the organization being supported by the fundraiser. For political/religious organizations hosting a Paint Party Fundraiser to specifically benefit their organization, please be aware that my advertising for the event may have a footnote stating: “Although I am a participant for this fundraiser, that does NOT mean I am affiliated with the organization or adhere to the same beliefs or ideas that the organization supports”.
Paint Parties can be scheduled with me at locations such as event centers, rental halls, etc. as long as the group gets permission ahead of time from the facility. It is the responsibility of the group hosting the Paint Party to secure/rent the facility and get permission to do the Paint Party.
*If you do not have a location in mind, 2 Tees in a Pod in Kingsville, OH rents their event space out to fundraisers at a discount rate. Their current rate for a full Fundraiser Paint Party with me is only $100.
I will NOT come to a residence or house to do a painting class for a fundraiser event.
Paint Parties are scheduled with me directly, either via email (ChrisDavisPainting@gmail.com) or Facebook Messenger through my personal page. Event pages can be created on Facebook by the Party Leader or Event Host to invite and update guests. However, all communication regarding the class with me must be made with me directly via Facebook Messenger or email ONLY. I cannot always keep up with comments on Facebook or in Facebook Events.
Classes generally range from 1.5 hrs - 3 hrs from start to finish, depending on the lesson and how many participants are present.
Please allow me to arrive and set up at least 30 minutes prior to the start of class. Someone from the party must be present to meet me and show me where class will be taking place.
The current minimum number of participants to hold a Fundraiser Event Paint Party is 10. If the event is nearing and there are less than 10 participants registered, we can negotiate proceeding with class, rescheduling, postponing, etc.
The facility must be able to accommodate the amount of people taking class without being too crammed.
The facility must have access to a sink and water for me to clean out brushes after class.
The Party Leader/Event Host or participants are responsible for securing tables, chairs, and tablecloths/covers. Different facilities have different sizes of tables so ensure the table covers you get cover the entire surface of the tables. I am not responsible or liable if participants get paint on tables.
Be aware that painting can be messy. It is recommended to wear something you don’t mind getting paint on as paint shirts, aprons, clothing covers are NOT provided by me. Participants may bring their own paint shirts, aprons, covers, etc. if they’d like.
Please note that I only use ACRYLIC paints for paint parties, I do NOT use watercolors, oils, tempera, gouache, etc. Occasionally, depending on the lesson, we may use additional materials such as pencils, chalk, permanent markers, etc. in addition to the acrylic paint.
Participants are welcome to have food, snacks, beverages, alcoholic beverages, etc. if the facility allows for it. Participants/Facility must provide their own plates, glasses, utensils, etc. as I do not provide anything other than supplies for the painting itself.
Lesson:
The Party Leader/Event Host must communicate with me to choose a lesson to advertise for the event. Lessons can be chosen from any of my past or upcoming lessons. These can include Kids Classes or Sip and Paint Classes and can be interchangeable. For example, an adult party may choose to do a lesson originally designed as a kids class, and vice versa. Images found online can also be sent to me to create a custom lesson for the event at no additional charge. However, I reserve the right to offer the custom lesson designed for the event for my public or private classes AFTER the fundraiser event has passed.
Generally classes use Stretched Canvas for the lessons, I typically use 8x10 or 11x14 and can provide those for the class, if requested, along with all necessary supplies to complete the painting. However, if the fundraiser group would like to paint different surfaces such as wood pieces, slate, ornaments, birdhouses, glassware, etc. or provide their own canvas instead of using my canvas, it is the responsibility of the fundraiser group to obtain the surfaces to paint. I am only willing to supply 8x10/11x14 canvas plus the necessary supplies to do the class. I can still bring the paint supplies even if I do NOT supply the surface to be painted on. Prices for these options are listed below in the Prices and Payment section.
The Party Leader/Event Host is to notify me of how many participants will be attending and what size canvas (8x10 or 11x14 are standard sizes) the group chooses at least 5 days prior to class so that I can ensure I bring enough supplies and materials, if I am required to bring the supplies. If I am not required to bring supplies, please notify me of how many participants are expected anyways.
Only one lesson can be taught per group. However, many lessons allow for custom colors to be used and minor changes to be made. I.e. number and placement of trees, birds, etc.
Adults and Children of age 5+ may participate in Private Paint Parties as long as it’s okay with the individual hosting the party. Children younger than 5 years old may participate but must be aided by an adult.
Advertising & Promoting:
Upon completion of the lesson design (if creating a new design), I will send a copy for approval. If this image is approved, it will be used for advertising and promoting the class. If requested, I will provide a description of the class so that participants will know what to expect, as many art instructors offer their classes in different ways. When creating flyers, advertisements, newspaper articles, etc. it is highly recommended to include the following:
What charity/organization the fundraiser is supporting
Brief description of the class (provided by me)
Location of class (including address)
Age range (are children permitted? Adults age 18+ only? etc.)
Cost of class
How to register for the class (contact person, website link, Eventbrite, etc.)
How to pay (cash, card, check and who to make it out to, etc.)
I must also be listed by name and credited as the instructor leading the class on any advertisements or promotions for the event.
*If creating flyers, advertisements, newspaper articles, etc. for the class, please allow me to review it before posting anywhere to ensure the proper and correct information are listed.
**If doing any articles that include interviews for newspapers, social media videos, talk shows, etc. that the fundraiser group would like me to participate in to discuss information about the class, please let me know. I am happy to participate in promotional videos, phone calls, talk shows, interviews, etc. with the fundraiser group as long as I am available and have proper notice. However, I will not contact any newspaper organizations, media platforms, etc. to promote the event for the fundraiser. I will only participate in interviews, etc. if they reach out to me.
***I will assist in advertising for the fundraiser class by posting on my social media and website as long as a means of registration is given to me to advertise. Please note that I DO NOT handle registration or keep track of sign ups for paint party events. It is the responsibility of the party host or someone involved to manage sign ups.
Tips on hosting a fundraiser paint party to gain interest and support from the community
Explain the “need”. If people are going to support a fundraiser, they want to know the necessity of the funds and what their money will be supporting or aiding. If there isn’t a good “need” for the money, there most likely will not be a big wave of support. Explain what the raised funds will be allocated for.
If raising money for a business, briefly explain the mission of the business and how the funds will be used to conduct that mission.
If raising money for charity, explain why the charity would benefit from the financial support of the fundraiser. (I.e. raising money for an animal shelter will provide food, care, shelter, and medical expenses for animals in need)
If raising money for a sports team, briefly explain what the funds will be used to cover (uniforms, travel expenses, gear, etc.)
If raising money for medical expenses, briefly explain the injury/disability/diagnosis/etc. (providing this information helps reach potential supporters who may want to help. Without knowing what medical issues are being supported, people may not feel there is a “necessity” for support because they do not know the situation or story of why funds are needed)
If the fundraiser is supporting an individual or family for whatever reason, it is advised to explain who the beneficiaries are why there is a “need” for the funds. People may not get behind supporting someone they don’t know or know anything about, especially if there is not a good well defined “need”.
If raising money for a scholarship, it should be well defined in the sense that it explains what the scholarship will be awarded for and what it may be used towards for the recipient.
*Please note the above tips are not rules or mandatory for me to support a fundraiser by doing Paint Party. These are just suggestions that may help reach a broader audience for support of the fundraiser.
Price and Payment:
The Party Leader/Event Host may charge whatever they wish for the cost per participant to attend the class, I recommend charging anywhere between $30-$40 per participant. This price range generally allows for good profit to be made for the fundraiser even after securing a venue and paying me.
If paint party supplies such as canvas, brushes, paints, paper towels, plates, cups for water, etc. are provided by the Party Leader/Event Host and I do not have to bring supplies, I will only require a total of $5 per participant who attends the class for my time. If the Party Leader/Event Host is providing the paint supplies, I will need to approve the supplies at least 3 days in advance of the scheduled class to ensure the supplies are appropriate for the selected lesson. I can approve supplies by seeing them in person or by being sent photos of the supplies.
If I am required to bring my own supplies for the Fundraiser Event, I require a total of $10 per participant if using 8x10 canvas/$15 per participant if using 11x14 canvas who attends the class. I will require $8 per person if I am bringing all supplies EXCEPT the surface to be painted (Party Leader/Event Host providing the surface) Please note that even if I bring paint supplies, I DO NOT bring tablecloths or table covers and that is the responsibility of the Party Leader or Event Host to ensure proper table covers are available.
If hosting a Personal Fundraiser that doesn’t benefit a specific charity, organization, team, etc. and is not being used for the purpose of a “need”, there may be a higher fee depending on the circumstances of the fundraiser. Raising money for a sole individual’s (or family’s) dance lessons, sports fees, travel expenses for a trip, vacation, etc. are not considered charitable or a “need” and may result in my fee being higher. This fee will be discussed and negotiated during planning the event and will need to be agreed upon in writing (or messages) before the class is booked. The exception to this is if the fundraiser is going through an organization that supports individuals and families such as Salvation Army, Toys for Tots, Operation Christmas Child, through a school or non-profit organization where the funds can be allocated properly, etc.
Please enforce a Pre-Pay/Down-Payment policy upon registration for Fundraiser classes. I find that people oftentimes will reserve seats and then not show up if they do not pre-pay or make a down payment. This takes spots away from others being able to join if a class if seating is limited. I also recommend enforcing a policy in which no refund is available for participants who cancel the day or class or who do not show up. This ensures a safeguard for the fundraiser and myself.
I must be paid the DAY OF THE EVENT at the conclusion of the event. I can be paid sooner if the Party Leader/Event Host wishes. The Party Leader/Event Host is directly responsible for ensuring I receive payment. I can accept cash, check, or Venmo.
If paying me in cash, please pay the exact amount owed as I do not carry change. Any additional pay will be considered a tip.

Cancellations/Rescheduling
If the fundraiser event must be canceled or rescheduled, please notify me immediately via Facebook Messenger or email at least 6 hours prior to the scheduled start time of the class. I reserve the right to refuse rescheduling if notice is given less than 1 hour in advance of the scheduled start time. However, in the event of an emergency cancellation by the Party Leader/Event Host (i.e weather conditions, power outages, etc.) I may consider rescheduling.
